To provide our automated financial services, we collect the following types of information:

  • Account Information: When you sign up, we collect your name, email address, and password.
  • Business Information: During onboarding, we ask for your business name, industry, and country to tailor our services.
  • Financial Data from Connected Accounts: With your explicit consent, we access data from your connected bank and email accounts.
    • Bank Transactions: We have 'Read-Only' access to your bank transaction data to match receipts and invoices. We cannot move money, make payments, or see your login credentials.
    • Email Content: Our NEXUS AI scans your email inbox for keywords like "invoice" and "receipt" to identify financial documents. It is designed to ignore personal emails. You can review what our AI can see in the Trust Center.
  • Uploaded Documents: We collect and process receipts, invoices, and other financial documents you upload to our platform.

2. How We Use Your Information

Your information is used to power the core features of Nexsuite:

  • To provide, maintain, and improve our services.
  • To perform OCR on receipts and extract structured data.
  • To categorize transactions automatically using our NEXUS AI.
  • To generate financial reports and insights.
  • To provide answers to your financial questions through the NEXUS Chat Assistant.
  • To communicate with you about your account and provide customer support.

3. AI and Data Processing

A core part of Nexsuite is our NEXUS AI. The AI processes your financial data to provide automated bookkeeping and insights. Your control over this process is paramount.

  • Autopilot Controls: As detailed in the Trust Center, you can set the AI's level of autonomy from "The Assistant" (manual approval for everything) to "The Autonomous CFO" (high-confidence auto-posting).
  • Data Minimization: The AI is designed to only access the data it needs. For example, when scanning emails, it specifically looks for financial documents and ignores the vast majority of your other emails.
  • Human Review: You can opt-in to have a certified human bookkeeper review transactions if the AI's confidence is low. This is an optional feature.

4. Data Security

We use bank-level encryption and industry-standard security measures to protect your data. Your credentials for third-party accounts (like banks) are encrypted and are never stored by us. They are transmitted directly to the financial institution to establish a secure connection.

5. Your Data Rights and Choices

You have full control over your data.

  • Access and Review: You can review all the data Nexsuite has processed for you within the application dashboard.
  • Control AI Autonomy: You can change the AI's level of control at any time in the Trust Center.
  • Data Deletion: You can permanently delete your account and all associated financial data from our servers using the "Unsubscribe & Delete Data" option in the Trust Center's "Danger Zone." This action is irreversible.

6. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any significant changes by email or through the application. We encourage you to review this policy periodically.
